OPERATIONAL DOCUMENT
This combined document consolidates RoadGo operational documents for online bookings, website use, privacy, vehicle handover and return, photographic inspections and debt recovery. It is designed to be used together with the RoadGo Rental Agreement, Rental Document, Vehicle Condition Report, Credit Card Authority, Tolling Services Annexure and any applicable corporate or director guarantee documents.
Important note: Where this document refers to the Rental Agreement, the applicable rental terms, charges, damage excess, security bond, tolling obligations and customer authorities are those set out in the signed or electronically accepted RoadGo Rental Agreement and related rental documents.
1.1 Application: These Online Booking Terms apply to all bookings made through the RoadGo website, online booking platform, payment link, electronic form, mobile process or any similar online or electronic booking channel.
1.2 Electronic acceptance: By selecting “Book Now”, “Pay Now”, “Reserve”, “Confirm Booking”, “Accept”, ticking an acceptance box, submitting an online booking form or using any similar wording or electronic process, the customer confirms that they have read, understood and accepted the RoadGo Rental Agreement, this operational document package and any related policies referred to during the booking process.
1.3 Age requirement: The customer confirms that they are at least 21 years old unless RoadGo has expressly approved a different age requirement in writing.
1.4 Licence requirement: The customer confirms that each driver holds a valid, current and unrestricted driver’s licence suitable for the class of vehicle rented and that no driver is a learner driver or provisional driver unless RoadGo has expressly approved that driver in writing.
1.5 Accuracy of booking information: The customer must provide accurate and complete information when making a booking, including identity details, licence details, contact details, payment information, rental dates and any requested vehicle or usage information. RoadGo may refuse, cancel or suspend a booking where information is incomplete, inaccurate or cannot be verified.
1.6 Availability and confirmation: Online bookings are subject to vehicle availability, identity verification, payment approval, bond approval and acceptance by RoadGo. A booking request does not guarantee vehicle availability until RoadGo confirms the booking.
1.7 Security bond and damage excess: The customer acknowledges the applicable security bond and standard damage excess stated during booking or in the Rental Agreement. Unless RoadGo states otherwise in the applicable booking or Rental Agreement, the customer acknowledges a $400 security bond and a $600 standard damage excess.
1.8 Payment authority: The customer authorises RoadGo to charge the nominated payment method for rental charges, security bond, damage excess, fuel, cleaning, tolls, traffic infringements, late return fees, additional kilometres, loss of keys, recovery costs and any other amounts payable under the Rental Agreement.
1.9 GPS and telematics consent: The customer acknowledges and consents to GPS, tracking and telematics monitoring of RoadGo vehicles for fleet management, safety, location, recovery, kilometre recording, dispute resolution, claims handling, misuse prevention and legal compliance.
1.10 Privacy consent: The customer consents to the collection, use, storage and disclosure of personal information in accordance with the RoadGo Privacy Policy and Privacy Collection Notice included in this package.
1.11 Binding effect: Electronic acceptance has the same effect as signing a paper document. The customer agrees that electronic records, system logs, timestamps, IP address records, payment records, telematics records and booking confirmations may be used as evidence of acceptance.
2.1 Acceptance of website terms: Use of the RoadGo website or booking platform constitutes acceptance of these Website Terms of Use.
2.2 Permitted use: The website must only be used for lawful purposes, including making genuine enquiries, bookings, payments and account-related requests.
2.3 Accurate information: Customers must provide accurate, complete and current information when using the website, submitting forms, making bookings or communicating with RoadGo.
2.4 Booking conditions: Online bookings are subject to vehicle availability, verification checks, payment approval and final acceptance by RoadGo.
2.5 Related documents: By clicking “Book Now”, “Pay Now” or similar wording, the customer accepts the Rental Agreement and related policies, including the privacy, tolling, payment, handover, inspection and debt recovery procedures that apply to the rental.
2.6 Platform changes: RoadGo may update, suspend, restrict or withdraw access to the website or booking platform at any time, including for maintenance, security, operational needs or suspected misuse.
2.7 No misuse: Customers must not misuse the website, interfere with its operation, submit false details, attempt unauthorised access, upload malicious material or use the platform for fraudulent or unlawful purposes.
2.8 Website content: Website content is provided for general information and booking purposes. Vehicle images, descriptions and availability may vary and remain subject to confirmation by RoadGo.
2.9 Limitation: To the extent permitted by law, RoadGo is not liable for temporary unavailability of the website, booking errors caused by incorrect customer information, or technical issues outside RoadGo’s reasonable control.
3.1 Purpose: RoadGo collects personal information for bookings, identity verification, driver eligibility checks, vehicle rental administration, payment processing, bond handling, toll processing, traffic infringements, claims handling, fleet security, debt recovery, customer service and legal compliance.
3.2 Types of information collected: Information collected may include names, addresses, dates of birth, telephone numbers, email addresses, driver licence details, identification documents, payment information, booking history, rental records, GPS and telematics data, odometer readings, fuel records, photographs, incident reports, correspondence, toll information and infringement information.
3.3 Collection methods: Information may be collected directly from the customer, through online booking forms, payment systems, identity verification processes, vehicle inspections, photographs, telematics devices, tolling providers, insurers, roadside assistance providers, government authorities and other parties involved in administering the rental.
3.4 Use of information: RoadGo may use personal information to assess and confirm bookings, verify identity and licence details, process payments, manage rentals, locate and protect vehicles, investigate incidents, manage claims, recover debts, respond to disputes and comply with legal or regulatory obligations.
3.5 Disclosure: Information may be disclosed to insurers, claims assessors, repairers, toll operators, roadside assistance providers, payment processors, debt recovery providers, credit reporting bodies where permitted by law, legal representatives, government authorities, police, courts, tribunals and service providers assisting RoadGo.
3.6 GPS and telematics data: RoadGo may collect and use GPS and telematics data to identify vehicle location, route, use, kilometre information, security events, suspected misuse, accident circumstances, late return issues and recovery needs.
3.7 Access and correction: Customers may request access to, or correction of, personal information held by RoadGo by contacting info@test2.rezviy-bot.ru. RoadGo may need to verify the customer’s identity before responding.
3.8 Storage and security: RoadGo stores information securely and takes reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure.
3.9 Retention: RoadGo retains records only for as long as reasonably required for operational, insurance, accounting, dispute, debt recovery and legal compliance purposes, or as otherwise required or permitted by law.
3.10 Consequences of not providing information: If required information is not provided, RoadGo may be unable to confirm a booking, release a vehicle, process payment, verify a driver, manage tolls or provide services.
RoadGo staff should complete the following checks at each vehicle handover and return. These checks support accurate records, customer communication, damage assessment and dispute prevention.

5.1 When photographs are required: Photographs must be taken at vehicle collection and at vehicle return. Additional photographs should be taken after any reported incident, accident, breakdown, recovery, cleaning issue or customer dispute.
5.2 Required photographs: Photographs must include the front of the vehicle, rear of the vehicle, both sides, wheels and tyres, interior, odometer, fuel gauge and any existing damage or new damage.
5.3 Quality of photographs: Photographs should be clear, well-lit, date-stamped where possible and taken from a sufficient distance and angle to show the relevant vehicle condition. Close-up photographs should be taken for damage, scratches, dents, tyre damage, glass damage, interior damage or stains.
5.4 Existing damage: Any existing damage should be photographed and recorded before the vehicle is released to the customer. The customer should be given an opportunity to identify any visible damage before departure.
5.5 Return inspection: At return, staff should compare the vehicle condition against the handover photographs, Vehicle Condition Report and any telematics or incident information.
5.6 Use in disputes and claims: Photos, inspection records, odometer readings, fuel records, timestamps and telematics data may be relied upon in disputes, insurance claims, recovery action, debt recovery and legal proceedings.
5.7 Storage: Inspection photographs and related records should be stored securely with the rental file and retained for a reasonable period having regard to insurance, accounting, operational and legal requirements.
6.1 Payment terms: All amounts owing are due immediately unless RoadGo agrees otherwise in writing or the Rental Agreement provides a different due date.
6.2 Amounts recoverable: Amounts recoverable may include rental charges, security bond deductions, damage excess, repair costs, cleaning fees, fuel charges, tolls, infringement administration fees, late return fees, kilometre charges, recovery costs, key replacement costs, storage or towing costs and any other amount payable under the Rental Agreement.
6.3 Reminder notice: If payment remains outstanding for 7 days, RoadGo may issue a reminder notice requesting payment and providing details of the amount claimed.
6.4 Letter of demand: If payment remains outstanding for 14 days after the reminder, RoadGo may issue a formal letter of demand.
6.5 Recovery costs: The customer is liable for reasonable debt recovery, legal and collection costs incurred by RoadGo where permitted by the Rental Agreement and applicable law.
6.6 External collection: RoadGo may refer unpaid debts to collection agencies, solicitors or other legal representatives.
6.7 Credit reporting: RoadGo may disclose defaults to credit reporting bodies where permitted by law and after any required notice has been given.
6.8 Disputes: If a customer disputes a debt, RoadGo should review the rental documents, photographs, inspection records, payment records, invoices, toll records, infringement records and customer communications before deciding whether to continue recovery action.
6.9 Without prejudice offers: RoadGo may consider reasonable settlement offers without admission of liability, depending on the evidence, amount owed, recovery prospects and commercial circumstances.
6.10 Record keeping: All recovery steps, notices, calls, emails, payment arrangements and settlement communications should be recorded on the customer file.
The customer acknowledges that they have read, understood and agreed to this combined operational document package where it is provided with, incorporated into or accepted as part of the RoadGo Rental Agreement or booking process.
